Clean, bright commercial lobby

Guide

What goes into a commercial cleaning quote.

A good quote is built from your building, not from a rate sheet. Here’s what goes into one, and how to compare them.

Why every quote starts on site.

Two buildings of the same size can need very different cleaning. A quiet office with carpet and two restrooms is a different job from a busy clinic with tile floors, six restrooms and a full waiting room. That’s why Fieldstone walks every building before quoting it. A quote built from square footage alone guesses at the work; a walkthrough measures it.

Size, layout and the rooms that take the most time.

Floor area is the starting point, but layout matters as much. Open floors clean faster than buildings divided into many small offices. Multiple floors add time for moving between them.

Some rooms take far more effort than their size suggests. Restrooms, kitchens and breakrooms are cleaned thoroughly every visit, so the count of each shapes the quote. So do specialty spaces: exam rooms, classrooms, locker rooms or a food court.

Frequency, room by room.

How often each area is cleaned is the first thing to check. A good plan doesn’t apply one frequency to the whole building. Restrooms and kitchens can be cleaned every visit while private offices move to a lighter rotation.

When you compare quotes, check that the frequencies match. A lower number that cleans restrooms three nights a week isn’t comparable to one that cleans them five. Our guide to what drives commercial cleaning cost shows how much each extra night adds.

Floors and periodic work.

Floor type changes the routine. Carpet needs vacuuming and periodic extraction, vinyl tile needs burnishing and refinishing, and concrete needs scrubbing. A complete quote lists these periodic jobs with their own cycles, so you can see the whole year rather than just the nightly routine.

Timing and access.

When cleaning can happen affects how the work is staffed. Evening cleaning in an empty office runs differently from early-morning cleaning before a store opens or work that fits between warehouse shifts.

Access matters too: key and alarm procedures, buildings with after-hours entry rules and rooms that stay locked. These details don’t usually change the price much, but they belong in the plan so the first night goes smoothly.

Porters and one-time work.

Daytime porter coverage is quoted by the hours and days you need. One-time jobs, such as post-construction cleanup or a deep clean before a move, are quoted separately from the recurring plan, so you can see each on its own line.

Comparing quotes fairly.

Line up the quotes area by area. Check that each lists the same rooms, the same frequencies, the same floor care and the same porter hours. Look at what’s written down, not just the total. A quote that leaves out floor care or restroom restocking will look cheaper until those costs turn up later.

Fieldstone sends a written plan alongside the quote, listing each area, the tasks and how often they happen. It makes comparing easy, and it becomes the checklist our crews and supervisors work from. To build that list yourself first, see our task list guide.

Questions to ask before you sign.

A quote is only as good as the plan behind it. Ask how often each area is cleaned, what happens on each visit, which periodic jobs are included and when they happen. Ask who checks the work and how you report something that was missed.

Ask how the first weeks will go, too. A good provider sorts out keys, alarm codes and supplies before the first night and checks in closely while the routine settles.

A few useful answers

Quick answers.

Why does a quote need a walkthrough if pricing is per square foot?

The rate per foot comes from the rooms inside: restrooms, kitchens, floor types and frequency. A walkthrough counts them, so the rate fits the building.

Can a quote be adjusted after we start?

Yes. If your hours, headcount or layout change, we revise the plan and quote together.

Should floor care be in the same quote?

It helps. Seeing nightly cleaning and periodic floor work together shows the full cost of keeping the building clean.

Can we get separate quotes for several buildings?

Yes. Each building gets its own lines in the plan, so you can see each one on its own and together.
